    We are looking for a strong RFP Administrator with a background in technical writing and excellent organization skills to join our Burnaby base team. The RFP Administrator will be expected to manage from the bottom up in order to coordinate the creation and delivery of RFP responses. You will be working with both Management and SME to craft high quality RFP responses. You will be expected to provide valued input into project and proposal strategies; including resource allocation, value propositions, and effective proposal presentation. They will oversee and manage the document development, quality, and completion of large, complex government and commercial projects and proposals (RFPs). 

     

    The RFP Administrator will also coordinate logistics around events and tradeshows including memberships, travel booking, booth logistics and all marketing materials.

    Primary Functions

    As a RFP Administrator, you will be reporting directly to the Management and Business Development teams. Your main duties will include providing administrative support to the Business Development department, coordinating and preparing business proposals, communications materials, project plans and other written materials for our organization while overseeing the logistics of events and trade shows.

     

    • Working with our business development team and SME to develop responses to RFPs (request for proposal) for new name and existing client-base sales opportunities.
    • Analyze and interpret RFP requirements – delegating to SMEs when required.
    • Writing and editing concise, audience-focused content under tight timelines
    • Maintain an up-to-date repository of product information, proposal responses, and screenshots/graphicsWriting and editing RFP responses
    • Develop content delivery strategies in our sales documentation
    • Interfacing with all levels of management and ensuring effective, interdepartmental communication throughout the proposal lifecycle
    • working with our sales team to develop marketing material including brochures, product documentation, email campaigns, etc.
    • Assess sales opportunities, track and report on sales bid success rates, and provide sales reporting as required
    • Represent Cayenta in pre-proposal meetings and liaise with client procurement teams to ensure adherence to RFP processes

    Qualifications

    • Undergraduate degree in a writing intensive discipline or college-level training in business writing or technical communications
    • 1-2 years’ experience in a writing or business communications role
    • Advanced knowledge of the Microsoft Office Suite
    • Strong writing and communications skills
    • Adaptability and time management skills are crucial for this role
    • Experience in graphic design
    • Experience with Adobe Creative Cloud suite
    • Experience in the ERP software industry is an asset
