We are looking for a strong Proposal Coordinator who has excellent technical writer skills and is obsessively organized. The Proposal Writer will be expected to provide valued input into project and proposal strategies, including resource allocation, value propositions, and effective proposal presentation. They will oversee and manage the document development, quality, and completion of large, complex government and commercial projects and proposals (RFPs). Reporting directly to Manager, Business Development, the main duties of the Proposal Coordinator will include providing administrative support to the Business Development department, coordinating and preparing business proposals, communications materials, project plans and other written materials for our organization while overseeing the logistics of events and trade shows.

 

The Proposal Coordinator will also coordinate logistics around events and tradeshows including memberships, travel booking, booth logistics and all marketing materials.

Primary Functions

Based in our Burnaby office, Cayenta is seeking a Proposal Specialist to provide:

  • Coordination of proposals – including writing/editing responses, gathering SME input, and developing content delivery strategies in our sales documentation
  • Business development support – working with our sales team to develop marketing material including brochures, product documentation, email campaigns, etc.
  • Sales Analysis – assess sales opportunities, track and report on sales bid success rates, provide sales reporting as required

This is the perfect role for an individual with a passion for producing customer facing content and the desire to work in a creative and collaborative team.

 

Key Responsibilities

  • Working with our business development team, develop responses to RFPs (request for proposal) for new name and existing client-base sales opportunities.
  • Analyze and interpret RFP requirements – delegating to SMEs when required.
  • Writing and editing concise, audience-focused content under tight timelines
  • Maintain an up-to-date repository of product information, proposal responses, and screenshots/graphics
  • Interfacing with all levels of management and ensuring effective, interdepartmental communication throughout the proposal lifecycle
  • Represent Cayenta in pre-proposal meetings and liaise with client procurement teams to ensure adherence to RFP processes

Qualifications

To excel in this role, you will require a high level of adaptability, initiative, and several skills including:

  • Undergraduate degree in a writing intensive discipline or college-level training in business writing or technical communications
  • 1-2 years’ experience in a writing or business communications role
  • Advanced knowledge of the Microsoft Office Suite
  • Strong writing and communications skills
  • Adaptability and time management skills are crucial for this role
  • Experience in graphic design is strongly preferred
  • Experience with Adobe Creative Cloud suite is an asset
  • Experience in the ERP software industry is an asset
